The Educator Collaborative, LLC, (“The Educator Collaborative”) is pleased to provide CTLE Hours accrual for eligible New York State Educators. There are important policies, imposed by New York State, along with the expectation of quality and a high standard of learning, that we aim to meet to ensure each accrued hour is valid. Therefore, you must adhere to clear Terms and Conditions and appreciate your understanding. If you need clarification, please do not hesitate to write to us prior to registering. Once you have registered, you have agreed to abide by these additional terms and conditions.

Note: gender neutral pronouns (they/their/themselves) are used throughout and may refer to a singular or plural noun, as indicated by context.

ADDITIONAL TERMS AND CONDITIONS FOR “CTLE Hours Accrual” Please read our

General Terms and Conditions which govern this additional set of terms and conditions.

CTLE Governing Policies

  • “Continuing Teacher and Leader Education” (“CTLE”) and is a program set forth and governed by the New York State Education Department (“NYSED”).
  • “CTLE hours” are the NYSED unit of accrual.
  • A individual registering to accrue “CTLE hours” through The Educator Collaborative (a “Registrant”) agrees to understand and comply with all policies and procedures set forth by NYSED and The Educator Collaborative.
  • The Educator Collaborative does not interpret NYSED policies and procedures on behalf of any third party, is not responsible for changes to said policies and procedures, and does not influence, directly or indirectly, said policies and procedures.

Approved Sponsor

  • The Educator Collaborative, LLC, is a New York State Approved CTLE Sponsor, our sponsor number is available on our publicly available materials or by contacting us.
  • The length of sponsorship is set by New York State, including the ability to renew.
  • A registrant agrees to check, in advance, The Educator Collaborative’s active status with NYSED before registering. A registrant understands that should The Educator Collaborative’s active status end, the ability to accrue additional CTLE hours may also come to an end. This may happen anytime, including in the middle of an active registration. No refunds are available if at least 1 CTLE hour has been earned by the Registrant prior to the date of status change.

Accruing CTLE Hours

  • NYSED sets certain requirements for accruing CTLE hours.
  • NYSED assigned The Educator Collaborative the ability to create additional requirements and policies governing the accrual of CTLE hours through its offerings.
  • Hours for each activity/session may be accrued only in full. No partial hours will be granted.
  • The following describes the policies a Registrant must follow to accrue CTLE Hours (“Requirements”). Adhering to these requirements will accrues CTLE hours. Failure to adhere to these requirements and policies will void CTLE hours for the related activity, session, or, if applicable, the entire registration.
  • Accrual decisions are at the discretion of The Educator Collaborative, per these requirements. All decisions are final.

Requirements

CTLE hours are considered rigorous and active learning, earning is held to a high standard within New York State. Prior to registration, the requirements for earning CTLE hours are described through The Educator Collaborative communications and on our website (including, herein, these “Additional Terms”) and a Registrant accepts theses requirements, and any other posted or communicated requirements, to accrue CTLE hours.

  1. Be eligible to accrue CTLE hours, based on NYSED policy and any local policies.

NYS Certified Teachers, Level III Teaching Assistants, and Leaders are responsible for reviewing, understanding, and adhering to all applicable New York State Education Department policies regarding CTLE eligibility. This includes all requirements for recording and storing accrued hours. In addition, though rare, local districts may have policies regarding accrual of CTLE hours that may limit the time of day, activity, or provide other limitations. Registrants are responsible for following all state and local policies for eligibility. While The Educator Collaborative may provide documentation of hours as an Approved Sponsor, per our own requirements, the individual educator is solely responsible for ensuring eligibility based on their own unique context.

  1. Register on our website and maintain this registration for each opportunity.

Registrants are required to complete registration for CTLE Hours accrual through The Educator Collaborative.

For online offerings (e.g. Study Series), or short-term, consecutive date, live events or consulting (e.g. a Workshop Day):

Registration must be made prior to the start of any events or offerings of these kind, following procedures published on our website. Should registration for CTLE Hours take place after the start, missing hours cannot be added.

For multiple date, non-consecutive, live events, or consulting (e.g. in-school consulting):

Registration must be made no later than 5 days after the date a Registrant wishes to accrue CTLE Hours for these types of live events or consulting (e.g. register by September 20th to accrue hours starting from September 15th). Should registration for CTLE Hours take place after this time, missing hours cannot be added.

For in-school consulting, all employed staff members’ registrations are superseded by the school’s or district’s active Agreement with The Educator Collaborative. If a school or district’s contract is paused, terminated, or revoked, so too will all related staff members’ registrations be similarly handled.

For all events, opportunities, and consulting:

Registration is necessary for each opportunity.

A Registrant must provide all required information during registration, including information required by NYSED. This information must be accurate at time of registration.

When a registration is paused or ended, hours related to that registration will not continue to accrue. While very rare, if a registration is revoked, hours accrued during the registration period may become void, for some or all registrations for that Registrant, current or in the past.

  1. Fulfill all necessary expectations and procedures set forth by The Educator Collaborative for each activity.

For the purposes of in-school consulting accrual, expectations and procedures are:

a. Be employed by a school or district currently in active contract with The Educator Collaborative for the related activity(ies)/session(s).

The Registrant must be employed, not a contractor or volunteer, of the school or district. The school must have an active, current contract with The Educator Collaborative during time of services.

b. Be assigned by leaders to the activity(ies)/session(s) on the official schedule.

The Registrant’s name must appear on the official schedule, created and disseminated by the school or district leader(s). We would always love to have you join our learning at anytime, however joining without being assigned will not accrue hours.

c. Sign-in for each activity/session.

If a Registrant is involved in more than one activity (e.g. a “labsite and meeting,” then, later, an “after school workshop”), sign-in is required for each activity. The consultant will specify how and where to sign-in. A Registrant may only sign-in for oneself.

d. Actively participate, as assessed by The Educator Collaborative staff, for the full extent of each activity/session.

“Actively participate” is defined as:

    • Attendance during the entire activity. Punctual and full attendance honors the attendance of colleagues and allows the group to learn together.
    • Focus on the activity and follow The Educator Collaborative staff’s directions and tasks. Engage in the conversation, inquiry, and tasks, without pursuing outside activities (e.g. grading papers, checking email, unrelated conversation, etc.). We recognize educator lives are busy and understand if someone needs to forgo a session’s hours to prioritize other needs, however we will only grant hours for those able to actively participate.

e. Come prepared to learn, and also follow-through with expectations between visits, as assessed by The Educator Collaborative staff.

This is defined as:

    • Come prepared to take-notes (e.g. bring notebook or electronic means).
    • Bring any materials required by the official schedule and/or memos (e.g. books, classroom artifacts, conferring notes, etc.).
    • Complete any between-session expectations (e.g. trying out a practice in one’s own classroom and bringing back artifacts).

For the purposes of online offerings accrual, expectations and procedures are:

a. Be the Registrant for the offering.

The participant must be the named, registered party for the event. While some online offerings allow Group Viewing, only the registered individuals may accrue CTLE hours.

b. Log-in to the Registrant’s account and join the offering through that unique account.

The Educator Collaborative’s online learning system tracks attendance and completion of online offerings. Only activity completed through the Registrant’s own, unique, log-in, or in the case of hybrid learning, when appearing in person and being counted as “present”, will accrue hours.

c. Complete all requirements of the online offering.

The Registrant must meet all requirements and fully “complete” the online offering to accrue CTLE hours. This may include, but not be limited to, marking individual segments of an online course “complete,” filling out surveys, turning in assignments, attending sessions, etc.

d. Actively participate, as assessed by The Educator Collaborative staff, for the full extent of each activity/session.

“Actively participate” is defined as:

    • Attendance during the entire activity. Punctual and full attendance honors the attendance of colleagues and allows the group to learn together. In asynchronous learning, this means completing the full set of tasks or viewing the full recordings.
    • Focus on the activity and follow The Educator Collaborative staff’s directions and tasks. Engage in the conversation, inquiry, and tasks, without pursuing outside activities (e.g. grading papers, checking email, unrelated conversation, etc.). We recognize educator lives are busy and understand if someone needs to forgo a session’s hours to prioritize other needs, however we will only grant hours for those able to actively participate. In asynchronous learning, this means completing the full set of tasks in a timely manner, including any required communications.

e. Come prepared to learn, and also follow-through with expectations between activities/sessions, as assessed by The Educator Collaborative staff.

This is defined as:

    • Come prepared to take-notes (e.g. bring notebook or electronic means).
    • Bring any materials requested by The Educator Collaborative staff or communications (e.g. books, classroom artifacts, conferring notes, etc.).
    • Complete any between-session expectations (e.g. trying out a practice in one’s own classroom and bringing back artifacts). 

Right to Revoke

All or part of a Registrant’s accrued CTLE Hours may be revoked for breach of contract or other violation, including but not limited to, forgery, false reporting, failure to pay, which take place by or between any related parties, including, but not limited to, a Registrant’s employer.

Refunds and Cancellations

  • Any Refunds or Cancellations are governed by the general Terms and Conditions as well as the Additional Terms and Conditions related to the registration in question, or, in cases of in-school consulting or speaking engagements, the Agreement set-forth between parties.
  • Should a registration or Agreement be canceled, any and all related CTLE hours may become null and void. This includes the agreement of or registrations created by the Registrant’s employer, if related.
  • Should NYSED change policies, including cancelling the CTLE program, no refund will be issued with the Registrant has earned at least 1 CTLE hour, via any method and at any time, from The Educator Collaborative.
  • All decisions are at the sole discretion of The Educator Collaborative.

No Transfer or Substitution

  • CTLE hours may only be accrued by unique individuals and may not be transferred.
  • Individuals may not be substituted onto registrations of other individuals nor begin to accrue CTLE hours in their place.

Proof of CTLE Hours Accrual

  • The Educator Collaborative will provide a means for individuals to prove CTLE hours accrual, this may include certificates, transcripts, or other files. This information will be provided through our website or other communications, prior to registration. Registrants agree to continually review their records for accuracy. Changes in means of proof or reporting may change at any time and Registrants will be notified.
  • The means will meet all NYSED requirements for reporting at the time Sponsorship was granted to The Educator Collaborative, or in the future, when and if Sponsorship is renewed. Should reporting requirements change, The Educator Collaborative may need to suspend reporting during a period to update records per any new requirements. Registrants will be notified of the expected time frame when records may be inaccessible due to NYSED changes.
  • The Educator Collaborative, per NYSED policy, will maintain a record of all individuals and all accruals for not less than 8 (eight) years.
  • Records are owned and maintained by The Educator Collaborative, LLC.
  • Registrants or the NYSED may contact The Educator Collaborative to verify individual records, by doing so in writing, with at least 30 business days prior notice.

How We Calculate CTLE Hours

  • CTLE Hours are accrued per activity, session, event, or other component as determined by The Educator Collaborative, at its sole discretion. Registrants agree that all decisions by The Educator Collaborative are final.
  • CTLE hour accrual is only available during contact hours with The Educator Collaborative staff or when logged into a registered event that is providing accrual.
  • Generally, 1 (one) “Assigned hour” equals 1 (one) CTLE hour.
  • “Assigned hours” are those hours that meet one of two requirements:
    1. Posted by The Educator Collaborative. For instance, a Study Series session is assigned 1 (one) hour, regardless of it’s length.
    2. For in-school consulting, only: Time allotted by an official schedule, created and disseminated by the school or district leader(s), during contact hours with a The Educator Collaborative staff.
  • For ease of reporting, accrual is rounded to 15 minute increments and reported as fractions of an hour. For example: a scheduled “after school workshop” of 42 minutes will be recorded as 0.75 hours (equal to 45 minutes); a “1-1 classroom coaching session” of 32 minutes will be recorded as 0.5 hours (equal to 30 minutes); a “labsite and meeting” of 85 minutes will be recorded as 1.5 hours (equal to 90 minutes), and so on.

How We Handle Requests for Changes or Notice of Errors

  • Any requests for changes to records must be received in writing within 60 days of delivery, or availability of, the record and not less than 30 days prior to the Registrant needing the document revised.
  • The Educator Collaborative has final determination for awarding or withholding hours accrual based on the terms and conditions.
  • Requests for changes will be reviewed internally and will not be made public or shared with the Registrant.
  • All decisions are final.

Notice of Document Retention, Reporting, and Data Risks

  • NYSED requires The Educator Collaborative to retain records for a minimum of 8 (eight) years. All information Registrants supply during registration will remain in our database for this period. NYSED may request this information during an audit, or to verify reporting, at anytime and we are required to supply it.
  • No data storage system is perfect. While The Educator Collaborative uses care to secure Registrant’s data to the best of our ability, there is always a risk for some or all information to be maliciously viewed or stolen by third parties.
  • Registering with The Educator Collaborative indicates that the Registrant understands these risks and agree to indemnify and hold harmless The Educator Collaborative, LLC, and its members, agents, owners, and staff, for any claims brought or liabilities imposed relating to or arising out of loss of your personal information or breach of our websites or database.
  • Should the Registrant wish to have their personal information deleted and destroyed, they must write to Contact@TheEducatorCollaborative.com with the subject line: “GDPR CTLE data removal request.” Upon verification of the Registrant’s identity, The Educator Collaborative will void the entire file and any related CTLE hours. This means The Educator Collaborative will not be able to verify the Registrant’s information with NYSED should it be requested. Once deleted, the historical file and all data will be permanently lost.

Notice of Intent to Provide CTLE Hours and Limits to this Intent

CTLE Hour accrual is provided as a secondary service to schools with which we partner for in-school consulting, our primary purpose is to support the professional learning and development of staff in alignment with a school’s literacy goals. CTLE Hour accrual is not guaranteed and no claim for a guaranteed set of hours is implied or expressly stated.

Acceptance

Registering for CTLE Hour accrual with The Educator Collaborative, LLC, indicates the Registrant’s acceptance of these Additional Terms and Conditions, including all procedures, policies, expectations, and notices, described in this document.
